Enterprise Fleet Program

Compliance documentation
for your entire portfolio.

When you manage 20+ properties, per-job PAR purchases don't scale. SurfaceOps Enterprise delivers Certified PARs across your full fleet — one contract, one dashboard, one audit trail.

The Portfolio Problem

Four ways per-job PAR purchasing breaks at scale

Self-serve works for individual operators. It fails the moment you're managing 20+ properties across multiple vendors.

01
🗂️
Per-property procurement chaos
Every operator submits different documentation. Some use SurfaceOps; some send a text photo; some send nothing. Your compliance file is a patchwork of formats, some of which are legally worthless.
No standard → no audit defense
02
Audit-time scramble
EPA inspections, HOA board reviews, and insurance renewals don't give 6-month notice. When they hit simultaneously, you're chasing 47 vendors for documentation that may not exist.
3-week scramble → 1-day export
03
🔭
No visibility across vendors
Which properties have current PARs? Which jobs ran last month without documentation? Which vendor hasn't generated a report in 90 days? You don't know until something goes wrong.
Blind spots become liability
04
🌊
Liability cascade
One undocumented runoff incident doesn't stay contained. Insurance carriers treat your entire portfolio as high-risk. One claim drives up premiums across all 47 properties, not just the one that triggered it.
One gap → portfolio-wide premium hit

Fleet Pricing

Three tiers. All include NET-30 invoicing.

Your board sees professionalism. Your firm's name is on the document — the report is part of your service offering, not a third-party add-on. Auditors see independence. The SurfaceOps verification badge on the back confirms the report was generated by an independent certified platform — not self-reported by the operator. The combination is the strongest possible audit defense: your brand, our verification.

Illustrative Scenarios

What fleet compliance actually changes

These are illustrative scenarios based on the compliance problems SurfaceOps was built to solve. Not real customer names or specific events.

HOA Management
Illustrative scenario — not a real customer
3 wk → 1 day
Audit prep time, 240-property portfolio
A 240-property HOA management firm in Texas is notified of an EPA TPDES inspection with 5 business days' notice. Before fleet PAR coverage, the compliance director spent 3 weeks emailing 12 vendors for job logs, chemical records, and GPS confirmations — most of which came back incomplete. With fleet coverage and the portfolio dashboard's one-click audit export, the same packet is ready in under a day.

Hospitality REIT

12%
Pollution liability premium reduction, 47 properties
A hospitality REIT with 47 properties across 6 states uses fleet PAR documentation at annual insurance renewal to demonstrate systematic BMP compliance across every exterior cleaning job. The carrier, seeing consistent third-party-verified chemical and runoff records rather than operator self-reports, adjusts the pollution liability premium accordingly. The saving on a $1.8M annual premium more than covers the fleet contract cost.

$1.8M
County contract won on compliance differentiation
A PM contractor bidding a county facility management contract includes SurfaceOps fleet compliance documentation as a scored differentiator in the RFP response — submitting the portfolio dashboard export format, certified PAR samples for the property types in the contract, and a fleet agreement term sheet as exhibits. The compliance section earns the bid committee's highest technical score and is cited explicitly in the award letter.

FAQ

Common enterprise questions

Fleet 50 starts at 50 PARs per year — roughly 4–5 jobs per month across a portfolio of 20+ properties. If you're smaller, the self-serve pricing ($99/single, $249/3-pack, $799/10-pack) is often the better fit. We'll tell you which way to go based on your volume when you submit the form.
Standard fleet agreements are 12-month terms with NET-30 monthly invoicing. Multi-year commitments (2–3 years) compress the per-PAR rate further. We can also do a 6-month pilot for larger portfolios that want to run a proof of value first — pricing reflects the shorter term.
Fleet agreements are billed monthly on actuals — you pay for what you use, not a prepaid block. If your portfolio runs 80 PARs in a year instead of the projected 100, you pay for 80. The floor-rate guarantee still holds: you won't be bumped to a higher tier for low-volume months. Rollover credits for unused capacity are available on multi-year agreements — ask your CSM.
Yes. The master agreement covers the portfolio as described at signing, with a standard amendment clause for adding properties. Operators (the crews that actually generate the PARs) can be added at any time through the onboarding process — your CSM handles provisioning. There's no per-operator fee.
Fleet 250+ white-label includes your firm's logo and name on the PAR cover page, a co-branded header, and a cover-sheet template with your contact information. The body of the PAR — chemical logs, GPS checkpoints, BMP audit, crew certifications — remains standardized and unchanged. The SurfaceOps independent verification badge and certificate fingerprint appear on the back page. You cannot modify the compliance data fields or remove the verification badge — that's the audit-defensibility piece your clients are actually relying on.
You do. All PAR data generated under your fleet agreement is your property. SurfaceOps retains aggregate anonymized data for platform improvement (we don't sell customer data, share property addresses, or disclose operator relationships). The master agreement includes a data ownership clause; your legal team can review it before signing. You can export your full PAR history at any time in PDF or CSV format.
Standard fleet agreements have a 60-day written termination notice requirement. You can cancel mid-term; your obligations end after the notice period. PARs generated up to the termination date remain valid and accessible in your account indefinitely — your compliance documentation doesn't expire when the contract does. Early termination on multi-year agreements may include a wind-down fee; this is negotiated at contract time.
Fleet 100 and above includes optional insurance broker co-branding on the PAR cover — useful when you're using PAR documentation as part of an insurance renewal package. If you have a preferred broker relationship, we can include their firm name as an "endorsed by" field. This is separate from our direct broker partnership program at /par/insurance — that program is for brokers who want to refer PAR to their PM clients and earn revenue share.
